CAIB (“CAIB”, “we”, “us”) is an AI-powered operating platform for businesses, operated by Martivi Consulting. We take privacy and confidentiality seriously — they are core to the product, not an afterthought. This policy explains what information we handle, why, how we protect it, and the rights you have. 1. Who we are and our roles
For information you submit to us directly (for example, contact and demo requests), we act as the data controller. For the business data your organization processes inside the CAIB platform — meetings, decisions, tasks, sales, procurement, analytics — your organization is the controller and we act as a data processor acting on your documented instructions under our customer agreement.
2. Information we handle
Information you give us
- Lead & demo requests: your name, work email, phone number, company, and anything you write to us.
- Account information: credentials and profile details for users your organization invites.
Your organization’s operational data (customer data)
- Meeting notes and recordings you choose to upload, decisions, votes, tasks and evidence, supplier and product records, sales history, purchase orders, and analytics queries.
- All databases and data we work with remain your organization’s property at all times — ownership never transfers to us. We only process this data to provide the service, on your instructions, and you can export or delete it at any time.
Information we collect automatically
- Technical and usage data (IP address, device/browser, pages visited, actions taken) and essential cookies needed to run the site and keep you signed in.
3. How we use information
- To provide, operate, secure, and improve the platform and respond to your requests.
- To set up demos, communicate with you, and send service-related messages.
- To maintain audit trails, prevent abuse, and meet legal obligations.
We do not sell your personal information, and we do not use your organization’s operational data to train AI models.
4. AI processing
CAIB uses large language models from leading AI providers to power features such as parsing notes and answering questions. When a feature requires it, relevant content is sent to these providers solely to generate a result and is governed by their enterprise security and privacy commitments, including not training their models on your data. Importantly, all calculations are performed in code, never by the language model, so figures are deterministic and reproducible.
5. Confidentiality
Everything you share is treated as confidential from first contact — the topics you raise, the numbers you run, and the existence of the engagement itself. Access is limited to personnel who need it to deliver the service, all bound by confidentiality obligations.
6. Legal bases for processing
Where the GDPR or similar laws apply, we rely on: performance of a contract; your consent (which you may withdraw); our legitimate interests in operating and securing the service; and compliance with legal obligations.
7. Sharing and sub-processors
We share information only with vetted service providers acting on our behalf — including cloud hosting, email delivery, and AI model providers — under contracts that require appropriate security and confidentiality. We may disclose information where required by law, or to protect rights, safety, and the integrity of the service. A current list of sub-processors is available on request.
8. International data handling
To deliver the service, some data is processed by our cloud infrastructure and AI providers, which operate data centers in several countries — so your data may be processed outside your own country. This is about where data is processed, not about anyone reusing it: content sent to AI providers is used only to generate your result and is never used to train their models (see “AI processing” above). Wherever data is processed, we apply recognized transfer safeguards (such as Standard Contractual Clauses) and data-handling practices aligned with international privacy standards.
9. Data retention
We keep personal information only as long as needed for the purposes above or as required by law. Customer data is retained per your organization’s agreement and deleted or returned on termination, subject to legal retention requirements. Audit records may be retained to preserve an accurate history.
10. Security
We protect data with encryption in transit and at rest, strict access controls, tenant isolation enforced at the database level, and immutable audit logging. No system is perfectly secure, but security is engineered into the platform at every layer.
11. Your rights
- Access, correct, update, or delete your personal information.
- Object to or restrict certain processing, and request data portability.
- Withdraw consent at any time, and lodge a complaint with a supervisory authority.
To exercise any right, email contact@martiviconsulting.com. If your data is held on behalf of an organization using CAIB, we will direct your request to that organization.
12. Cookies
We use essential cookies to operate the site and keep sessions secure. We do not use advertising cookies. You can control cookies through your browser settings.
13. Children
CAIB is a business product and is not directed to children under 16.
14. Changes
We may update this policy from time to time. Material changes will be reflected by the “last updated” date above and, where appropriate, communicated to you.
